What's new

Recent updates and improvements to Beagle CRM, newest first.

My workspace: your own files

My files in your workspace is a private place for your own documents — like the rest of your workspace, your colleagues and admins can't see it.

  • Upload or drop images, PDFs, Office documents, text and CSV files, up to 25 MB each.
  • Organise them in folders, and rename, move or delete anything.
  • You have 1 GB per organisation, with a bar showing what you've used.
  • Download my workspace now includes your files, in their folders. Your files are deleted if you leave the organisation, so download them first.

My workspace: a private journal and todo list

My workspace in the sidebar is yours alone — your colleagues and your organisation's admins can't see it.

  • A journal page for every day that saves as you type. Type @ to link a customer, project or task, and that record shows a private From your journal panel, to you only.
  • Todos: add with Enter, tick off, add notes and due dates, and drag to reorder.
  • Assigned to me lists the team tasks already assigned to you.
  • Managers and admins can turn a todo into a team task in one click.
  • Download my workspace gives you a zip of everything. Your workspace is deleted if you leave the organisation, so download it first.

Ask Oscar now answers questions about one customer

Ask "How much has Acme spent this month?" and Oscar works it out from every invoice: invoiced, paid and credited this month, what they owe now, and when they were last invoiced. No AI key needed — it is calculated on your server.

  • The same works for a product ("how many did we sell last month?", "who buys it?"), quotes and orders, deals ("how many deals did Sam win this month?", "what's in Sam's pipeline?", "which deals have gone quiet?") and work ("open tasks for Acme", "any open cases?").
  • Follow up with "and last month?" or "what about Beta?" and Oscar keeps the rest of the question.
  • If a name matches more than one record, Oscar asks which you meant rather than guessing.
  • With your own AI key, Oscar can now work through questions that take more than one step, showing each step as he goes.
  • New, off by default: an admin can let Oscar suggest an internal note or a task, which is only saved when you press Confirm (Settings → AI summaries).

Tasks open in a side panel

Working through tasks takes far fewer clicks:

  • Click a task on the Tasks list, board or calendar, a project's Tasks tab, or a customer's tasks, and it opens in a side panel — notes and checklists included — without leaving the page you are on.
  • Checklists and notes update live when a colleague changes them.
  • The full task page is now one page, with no tabs to switch between.
  • On mobile, tasks open in the same panel.

Credit notes by email, portal file sharing, and invoicing fixes

  • Credit notes can be emailed to the customer, and show VAT per rate. Partial credit notes now reduce VAT correctly, and the VAT tile nets credit notes off.
  • Customer portal: share files with your customers, and portal invite links are safer — they survive email link-scanners and can be revoked.
  • Recurring invoices auto-send reliably and keep their day of the month.
  • Automatic invoice reminders fixed, and invoice PDFs show VAT per rate.
  • Reports use exact date ranges, with corrected figures.
  • Companies House: counties are mapped, and Re-sync works without an API key.
  • Microsoft 365 mailboxes can send campaigns over SMTP.
  • Expired quotes can no longer be accepted.

Discounts on individual lines

Quotes, sales orders, invoices, credit notes and purchase orders now take a discount on each line — a percentage or a fixed amount — with the totals and VAT worked out from the discounted price.

A proper New Sales Order form

Creating a sales order now has its own full form, with line items that behave the same as on quotes and invoices — adding, removing and re-totalling lines all work as you would expect.

Connect to Xero

Beagle now connects to Xero:

  • Map your accounts and tax rates once, then customers, invoices and credit notes go to Xero.
  • Payments recorded in Xero come back to Beagle, so invoice status stays in step.
  • Beagle never overwrites or takes over a document it did not create in Xero.

Connect Gmail with your own Google client

Organisations on Google Workspace can connect the shared inbox using their own Google OAuth client, so mail access runs under your organisation's Google project rather than ours.

Purchasing, end to end

  • Send purchase orders to suppliers, receive goods in part or in full, and record supplier bills to pay.
  • Stock in and out is tracked as goods arrive and leave.
  • Purchasing reports show what you have ordered and spent.
  • A product can now have several suppliers, each with its own SKU, lead time, minimum order, pack size and last cost.

Get paid by card on invoices

Connect Stripe and your customers can pay an invoice by card from the link in their email. The payment is recorded against the invoice automatically.

Project templates

Save any project as a template — phases, tasks and document folders — and start new projects from it. Tasks can also be marked visible to the customer.

Meet Ask Oscar

Ask Oscar answers questions about your CRM in plain English — "which customers complained about delivery?" — searching by meaning across your records and linking to every one he uses.

  • It runs on your server with no AI account needed; nothing leaves.
  • Add your own Anthropic or OpenAI key, and turn on sending, to get a written answer that cites its sources.
  • Narrow a question to one area (People, Sales, Service…) or a period.
  • Common totals — best-selling products, biggest customers, pipeline value, money owed — are calculated exactly, not guessed.

Integrations: webhooks, API writes, and a calendar feed

Beagle now talks to the rest of your stack:

  • Outbound webhooks — get HMAC-signed notifications when leads, quotes, invoices, customers and tasks change. Configure them under Settings → Webhooks.
  • API write access — the /api/v1 endpoints can now create and update customers, contacts, leads, tasks and notes.
  • Calendar feed — subscribe to your due-dated tasks in Google, Outlook or Apple Calendar from Settings → Calendar feed.

Customers can accept quotes from the portal

The customer portal now lets your customers accept or decline a quotation with an optional comment. You get notified, and the acceptance is recorded with a timestamp for your records.
